Questions before the demo.
The full list on setup, data, your ERP and terms. If something is missing, ask it on the demo; the founder answers in person.
Pilot and setup
How long does setup take?
Setup takes from two weeks. Allcatch is not a mass product: it fits your business. We connect your lines and your ERP, set the rules to your processes and configure it on your company's data. Plan on two to four weeks of setup from the scoping call to a live pilot, depending on the ERP path. The steps are on the Pilot page.
Do we have to go live on day one?
No. Pilots start in shadow mode: for the first two weeks Allcatch catches and drafts everything, but nothing touches a customer until you flip it on. You watch real drafts accumulate in the approval queue, judge the quality on your own traffic, and decide when it goes live.
What do you need from our team?
Access to the channels without changing the number, an export from your ERP or read-only access, and your specialist's time to approve replies in shadow mode. That is the whole ask.
Does our IT team have to build anything?
No. Allcatch engineers make the connection. ERP access is read-only by default, and the only write path is order drafts, only where you enable it. If your system can export data, that can be enough to start.
Do we change our phone number or channels?
No. We work with your number, your phone system, your text and email, without replacing the channel your customers are used to.
Control
Does Allcatch answer customers by itself?
Only when you switch it on, and even then only inside a boundary you cannot disable. Pilots start in shadow mode: Allcatch catches and drafts everything, nothing reaches a customer until you flip it on, and you can flip it back at any time. Turned on, it is built to answer only from data verified against your ERP. Anything it cannot, no verified price, a manual contract rule, missing data, a flagged account, it hands to your team: your operator is paged, the customer gets an honest holding reply, and the draft is never sent. That is not a setting you configure. It is how the system is built.
Does it answer calls by voice?
Not today. Calls are held to the same bar as text: the Allcatch line catches the request, routes it and takes the message; the reply goes out as a text or email draft your team approves. It does not quote prices, confirm stock or promise dates over the phone. Texts, emails and web forms get ERP-verified drafts.
What happens when Allcatch is not sure?
Several layers of protection fire. It replies only from your data: if a fact is not in your ERP, it does not insert a guess. Before sending, the reply is checked against the ERP, and disputed or unusual questions go to your specialist with the full context. Shadow mode runs first: a person approves every reply.
Will our customers end up talking to a robot?
As the law requires, the desk identifies itself as automated, and your team approves every reply before it goes out. It is built to answer from data verified against your ERP and to route everything else to a person, not a guess. Your customers get a fast, accurate answer instead of voicemail.
Will this replace our staff?
No. It handles the first contact: repeat questions, after-hours requests, quote and order drafts. Decisions stay with people. It removes missed and buried work, not the people who know your customers, and the analytics show the owner all inbound demand.
Who approves every draft, and how long does it take?
Whoever you name: the counter lead by default, with pricing exceptions routed to the person who owns them. Approval is one tap on the phone or in the queue; drafts arrive batched, each showing the ERP fields it used, so a routine draft is read and approved in one tap, and the edits teach Allcatch your rules so there are fewer of them over time. In shadow mode you see the real count and the time per draft on your own traffic before you decide anything.
Data and ERP
How does the ERP connect, and which ERPs?
Via export or API: catalog, prices, stock, set-asides. Nothing changes in your system of record. Systems we connect to include Epicor Prophet 21, Epicor Eclipse, Epicor BisTrack, Infor CloudSuite Distribution (SX.e), NetSuite, SAP Business One, Microsoft Dynamics 365 Business Central, Acumatica, DDI Inform, Spruce, Sage and QuickBooks Enterprise, and for gas and welding TIMS, Datacor and DataWeld. If your system can export data, that is enough to start; the demo shows the path for yours.
Where is our business data kept?
In the US, under your agreement: it is not shared with third parties, not used to train models, and by contract and by law it belongs to your company. Finances are visible to the owner only. Details, including the access log and deployment options, are on the Security & control page.
Do you train models on our data?
No. We do not use customer data to train or improve AI models. What gets tuned is your own setup: Allcatch is configured to your products, rules and workflows, and that configuration stays yours.
Who owns our data?
You do. Your ERP was always the system of record, so nothing is locked inside Allcatch. Conversation history and the demand data the desk captures are yours: export them at any time, we never use them for model training, and we delete them from our systems on request.
How do you handle call consent?
Phone capture and recording are consent-first where recording is used, including explicit notice language wherever local law requires it. Final wording is scoped with the customer's legal requirements.
Terms
How much does it cost?
Plans start from $399/month. The exact quote depends on three things: coverage mode (after-hours, overflow or 24/7), your ERP path, and the number of locations. You get the number on the demo, and founding-cohort pricing is locked once agreed.
Is there a contract? Can we cancel?
Month-to-month by default, cancel anytime. Six-month and annual terms are available at a discount. The procedure for your data on leaving, export, timing, deletion of copies, is fixed in the agreement. ERP access is read-only by default, so switching Allcatch off breaks nothing in your systems.
Who are you already working with?
We are at the start. That is why the pilot runs on your real requests and data, not on somebody else's case study, and why the founding cohort of five distributors gets founder-direct support, locked pricing and a real vote on the roadmap.
Is there a version for gas & welding distributors?
Yes, Allcatch started there: cylinders, full-for-empty exchange, rentals and demurrage, DOT requalification, PO digitizing. See the gas & welding version.
